A Fathom alternative for in-person meetings: what field sales teams need

Fathom is a popular AI notetaker for Zoom, Google Meet and Microsoft Teams. Sales reps who spend their days in clients' homes, showrooms and offices soon ask the obvious question: what do I use when there is no call to join?

Most searches for a Fathom alternative come from people who like the notes and want the same thing for the meetings Fathom does not cover. For a field sales team, those are most meetings. The answer depends on whether you need a notetaker that also works in a room, or a coaching tool built around the in-person sale.

What Fathom is, and who it fits well

Fathom describes itself as an AI notetaker. It captures, transcribes and summarises Zoom, Google Meet and Microsoft Teams calls, generates action items, and offers AI-powered CRM updates for teams, with Salesforce and HubSpot named on its site. For managers, it lists AI Scorecards to support coaching. The promise is simple: stay present in the meeting and let the notes write themselves.

That makes Fathom a very good fit for:

  • People whose meetings happen on video. Account executives, consultants, customer success managers, founders: if the conversation runs on Zoom, Meet or Teams, Fathom is where it already works best.
  • Teams that mainly want notes, summaries and action items, pushed into the CRM, rather than a structured coaching programme.
  • Teams that value a light setup over a platform that has to be configured around a sales method.

If your reps sell over video, Fathom is probably the better choice, and switching would add effort for little gain.

Where a video notetaker stops in a living room

Fathom's iOS app page now presents in-person meeting capture. Its help centre, checked on 24.10.2026, still describes a workaround: start a Zoom, Meet or Teams meeting on a laptop, invite Fathom and let the laptop pick up the room. It also states that Fathom cannot distinguish between multiple speakers in the same physical room, so all the audio is attributed to the Fathom user. Check how the iOS app handles several speakers before deciding.

The workaround matters less than the underlying difference. A notetaker answers the question: what was said? A field sales manager usually asks a different one: why did this home visit end without a signature, and what should the rep do differently in the next one? Answering that takes more than a transcript. Our guide to recording in-person meetings compares the practical options for capture alone.

From notes to coaching: what a field manager needs the day after

Picture a heat pump rep after a two-hour home visit. The couple liked the offer, asked about subsidies, and ended with a polite promise to think about it. A good summary records all of that. It does not tell the manager that the rep presented the price before asking what the old boiler costs to run, or that the spouse raised the noise of the outdoor unit twice and never got an answer. Those are the two moments a coach would pick, and the two most likely to change the next visit.

Field coaching therefore needs three things a summary does not give: a comparison with the steps of your own method, the exact passage where each step was missed, and a way for the rep to practise the answer before the next appointment. The written visit report still matters, and a good one takes minutes: see our customer visit report template. But the report is what the rep remembers. The recording is what happened.

What to check before choosing a Fathom alternative

Test any tool on a real appointment, not a demo recording. Then check the points that separate a notetaker from a field coaching tool:

  • Capture without a call. Can the rep start the recording on a phone, at the kitchen table, in two taps, and does it keep going when the signal drops?
  • Speakers told apart. In a home visit there are often three voices: the rep, the client and the spouse. Coaching needs to know who said what.
  • Consent built into the flow. The client has to agree before recording starts, and the answer has to be kept. See whether it is legal to record a sales meeting.
  • Scoring against your method. Notes summarise; coaching compares the meeting with the steps your own playbook defines.
  • Practice after the meeting. Can the objection that lost the deal become a roleplay the rep repeats before the next visit?

What to take away

A notetaker and a field coaching tool solve different problems. If you only need clean notes from video calls, keep Fathom. If you need to understand and improve what happens in face-to-face meetings, choose a tool built for the room, and test it on a real visit.

When MIHOS is the better fit, and when it is not

MIHOS is built for the in-person sales meeting. It records the meeting with the client's consent, scores it against your own method, links every coaching point to the timestamped passage of the transcript, turns the objections your clients actually raise into AI roleplays, and handles updates to the CRM fields your admin approves, follow-ups and next steps. Recordings are stored in Switzerland, and MIHOS uses no voiceprint and no emotion analysis. It is a coaching tool first: see our guide to AI sales coaching for what that means in practice.

It fits teams whose deals are signed face to face: insurance and pension advisors, solar and heat pump installers, HVAC, car dealerships, kitchens and home improvement, security.

It is not the better fit if your meetings happen mostly on video, or if all you want is a notetaker. For that, Fathom is simpler and closer to the need. A rep who alternates between video calls and home visits can use both: Fathom on the laptop for the calls, MIHOS on the phone for the visits.

Frequently asked questions

Can Fathom record in-person meetings? Fathom's iOS app page now presents in-person capture. Its help centre, checked on 24.10.2026, still describes a laptop workaround and states that Fathom cannot distinguish between multiple speakers in the same physical room. Check the current state on Fathom's site.

What is the difference between a notetaker and a sales coaching tool? A notetaker records, transcribes and summarises. A coaching tool scores the meeting against a method, shows the rep the passage where the deal turned, and gives them something to practise before the next meeting.

Can a team use Fathom and MIHOS together? Yes. They cover different meetings: Fathom for video calls, MIHOS for in-person appointments. Decide which system is the reference for each meeting type so notes do not land twice in the CRM.

Which other tools should I compare? Our page on alternatives and comparisons lists the tools field teams most often shortlist, with the same method.
